Reserving Rooms Using GroupWise
With the GroupWise Email system, students now have the ability to reserve rooms electronically. GroupWise uses the New Appointment feature to schedule and confirm room appointments. You can check whether rooms are available, then send a scheduling message. The request message is accepted or declined by the Room Owner with a return e-mail. These rooms and places can be reserved by students:

This guide includes instructions for changing your settings to receive e-mail confirmation of a room appointment request, using the Busy Search to check time availability and completing a New Appointment message to request a room.
Change Settings to Receive E-Mail Confirmation
You will need to change your Groupwise mailbox settings to receive an e-mail receipt confirming or declining a room appointment before you send a New Appointment message. The default notification feature only displays the accepted appointment for a few seconds.
1. In GroupWise toolbar, Click Tools | Options.
2. Double click the Send icon.
3. Click on the Appointment tab.
4. At the bottom in the "Return Notification" section
When accepted and When deleted select Mail Receipt.
5. Click OK.
Check Room Availability and Send a New Appointment Request
Make sure the room is available before requesting a room reservation, by performing a Busy search. A Busy search will display the time periods when the room is in use.
1. In Groupwise, click File | New | Appointment.
2. In the To: box, type the Room number. For example, Room 4047. You also can use the Address book to locate a room.
3. Leave the Place field blank.
4. Select a Start date by clicking on the "calendar" icon next to the Start date field or type in a date.
5. Click the Busy button, bottom right corner.
Times when the room is in use and not available are marked in gray. Click on a gray area to display information about a scheduled event.
Once you know the room is available, continue the New Appointment message by clicking on OK.
6. Select a time by clicking on the "clock icon" next to the time field. Select the duration time. Click OK.
7. Type in a subject. The subject must include the event name and the name of a contact person.
8. Leave the Message field blank.
9. Click Send to send the appointment request to the Room Owner.
The Room Owner will confirm or decline your request with a return e-mail notification.
